How to Apply to a Dubai International School
Applying to a Dubai international school involves four stages: confirming spaces and the application window, submitting the online form with supporting documents, attending an assessment day (written test and interview), then paying the registration fee after receiving an offer. The process takes 2–6 weeks depending on the school; KHDA Outstanding schools open their application window once a year.
You've chosen a school, completed the tour, and now you're at the application stage. Mistakes here often have irreversible consequences: non-refundable fees, missed assessment dates, rejected applications. This guide focuses exclusively on the application process — from the form itself to the assessment day, from document preparation to managing a rejection.
Before You Apply: 3 Critical Checks
Before opening the application form, answer these three questions:
1. Does the school still have spaces? — Some schools appear open on their websites but are not accepting applications for that year. Call the admissions office directly and ask: "Do you have spaces for [academic year] entry for Year [X]?"
2. Is the application window open? — Oversubscribed KHDA Outstanding schools accept applications only during specific windows. Applications submitted outside these periods are usually placed on a waiting list and not actively assessed.
3. Is your child's profile a genuine fit for this school? — Does their English level, academic background and performance align with the school's general profile? A mismatched application wastes time and money for both sides.
The Application Form: Key Things to Get Right
Most schools use an online application portal. Prepare all documents before opening the form — incomplete submissions are typically dropped from the system without being assessed.
Previous school information: Enter the school name, address, years attended and graduation status completely. Write the Turkish school name in both Turkish and English.
Language proficiency: Be honest about your child's English level. Writing "Native" and then scoring very low in the assessment weakens the application; writing "developing" or "intermediate" clearly signals the need for EAL support — which is not a disadvantage.
Personal statement / reason for choosing: Some schools ask for a short piece of writing on why you chose this school. Rather than generic statements, reference the school's specific programmes, values or approach — this is the single area most likely to distinguish your application from the pile.
The most common mistake families make on application forms: trying to present everything as better than it is. The assessment day reveals the reality. What the school needs is an accurate picture of your child — not an inflated profile. An honest and clear application always makes a stronger starting point.
Complete Document Checklist
Small differences exist between schools, but almost every Dubai international school asks for the following:
-
1
Passport copy — Student and the applying parent. Must have at least 6 months of validity remaining.
-
2
Visa or Emirates ID copy — If you haven't yet moved to Dubai, a visa application document or sponsorship letter may be accepted; ask in advance.
-
3
School transcripts (last 2 years) — Turkish documents require a notarised English translation. Not a report card copy — official transcript or e-school printout. Use a sworn translator. For the full authentication chain including Transfer Certificate from Turkey, see our Turkey-to-Dubai school transition guide.
-
4
Teacher reference letter — Not all schools require this, but those that do ask for a letter in English on headed school paper. A letter written by your child's class teacher in Turkey is fine — written in Turkish and accompanied by a certified translation.
-
5
Vaccination record — Must cover UAE mandatory vaccinations, in English or Arabic. Turkish documents may require an English translation from the health authority.
-
6
Passport-size photograph — White background, recent. Digital format (JPEG) is usually accepted.
-
7
Conduct report — Some KHDA Outstanding schools ask for a behaviour note or conduct report from the previous school. An email or official letter from the school in Turkey is usually sufficient.
Assessment Day: What Actually Happens
After reviewing your application, the school typically contacts you within 1–3 weeks to book an assessment appointment. This is a placement process, not an elimination test — the school is deciding which year group and set to put your child in, not whether to reject them. Know this, and tell your child too.
Maths assessment: Core concepts from the current year's curriculum. Done on paper or tablet. Usually 30–45 minutes.
English assessment: Reading comprehension and a writing task. IB schools may also include a speaking component. Children without English proficiency yet go through an EAL initial assessment instead.
Observed activity (primary school mainly): For younger age groups, there is often no written test — instead, children are observed in a classroom setting through play-based, social activities. The goal is to understand their developmental maturity.
Parent interview: Some schools hold a short parent meeting (15–20 minutes) on assessment day. Expect questions about your child's strengths, learning style and any specific support needs. Honest, concise answers are always more effective than long explanations.
How to prepare your child
Intensive cramming the night before usually backfires. Instead, frame it for your child as "a meeting where the school wants to get to know you." Practising their current maths level is sufficient; for English, short daily reading practice up until assessment day is more sustainable than last-minute revision. The 72 Hours After an Offer Letter
When an offer letter arrives, you typically have 1–2 weeks to complete enrolment and pay the registration fee — and at some schools the window is even shorter. Don't make your final decision on the day the offer arrives, but complete the process within 48–72 hours. Popular schools have waiting lists and can offer your place to another family without notice.
The registration / enrolment fee (3,000–10,000 AED) is separate from the annual school fee — you are paying only to secure the place, not the whole year.
If Your Application Is Rejected
Rejection is disappointing, but it is not a closed door — it is a redirection. First, request written feedback from the admissions office — some schools provide it, some don't, but it's worth asking. Then consider:
Waiting list: Ask to be placed on the school's waiting list. Some places open up during the year. Keep in touch — a short email or call every two months keeps you visible.
Review the profile match: The rejection may be due to curriculum mismatch or language level. Look at schools at the same quality tier but with a different curriculum. A Good-rated school with strong EAL support can sometimes be a far better transition point than an Outstanding school.
Consultancy support: The most common problem I see in rejected applications is a profile-school mismatch. Building the right shortlist from the start — through a consultancy session — makes the entire process far more efficient.
